Terms and Conditions for Hare Hill Lodges

Thank you for choosing to book with Hare Hill Lodges we look forward to welcoming you.  When you make this booking you are entering an agreement with us.  Please read our terms and conditions of booking below.

In making a booking you warrant that you are a minimum of 18 years of age and have the authority to accept and do accept on behalf of your party the terms and conditions set out below.

Price

The price of the accommodation includes the following:
Bed linen is provided and beds are made up for your arrival. Towels and cot linen are not provided. Towel hire is available at £5 per person for those travelling by plane or train or with limited luggage space.Travel cot and high chair hire available at £12 per week each. Z-bed hire, inclusive of bedding, may be available at £12 per night (minimum charge £36). Hot Tub usage included.

Due to our Green Energy Conservation Policy, we simply request common-sense,responsible energy usage ie of central heating timer controls, replacing hot tub cover securely immediately not in use. Thank you!

Please note Gas & Elec included in rental cost, however excessive and/or careless additional usage above average, may be charged for on your departure, simply at energy suppliers rates ie no profit for us.

All units are Non- Smoking   Pets - Sorry, No.   This is a quiet, peaceful site, so sorry NO STAG/HEN PARTIES or SIMILAR.  Outdoor Activity groups eg walkers, cyclists, golfers,angling, extreme sports, watersports, etc welcome. We have an Outdoor Activity Centre just 4 mls away (we recommend you enquire well in advance for this and if we can book for you they would require payment in advance ) Couples & families, extended families with children & grandparents all welcome!

Cancellation and Insurance

If you cancel your holiday prior to 8 weeks before commencement the full deposit will be non refundable, within 8 weeks, cancellation costs are 100% of the holiday. We recommend that you take out a suitable insurance to cover your holiday. 

Unforeseen Circumstances Beyond our Control

Compensation payments will not apply where we cannot fulfil our obligations due to circumstances beyond our control . This would mean any event we cannot foresee with all due care, eg riots, war or threat of war, terrorist activity, civil strife, natural or nuclear disaster, industrial dispute,adverse weather conditions, fire epidemic or health risk and similar factors beyond our control.

Arrival

Your accommodation will not normally be available to you until 4.00pm on the day of arrival.  Privacy is ensured by a security gated entrance and we may still be busy preparing your accommodation, and may be unable to welcome you before 4pm.  If you expect to arrive later than 4pm, please advise us in advance of your estimated arrival time and also keep us well informed of any changes eg traffic delays  so that you may gain access to the accommodation.

Departure

The check out time is 10am on the day of departure. Please advise us in advance if you wish to arrange an earlier departure. You are obliged to leave the accommodation property and contents in good order, intact and clean as you found it on arrival. Payments for any further services during your stay, must be cleared in advance or, as in the case of excess energy usage, paid in cash on your departure.

Termination - Unreasonable Behaviour, Damage or Exceeding number of persons booked in.

We have the right to refuse to hand over accommodation or to terminate a holiday if the unreasonable behaviour of anyone in your party is likely to cause offence or to other guests or to members of staff or if number of persons exceed the number booked in at any time during your stay.

Care of Lodges, Damages and Breakages

A security/keys deposit of £60.00 per bedroom is due one week in advance of your stay,and will be returned either on departure or within 7 days of your departure. In the case of larger groups, an amount per person may be required, please enquire. Our lodges are beautifully kept and we are very proud of them, so please take good care of our properties, their contents, the hot tubs and outside areas and leave as clean and tidy as found on arrival. You are responsible and liable for any breakages or damage done or loss sustained during your stay.  Please report any as soon as they occur, as we are very likely to have new arrivals on your departure day, looking forward to their holiday, so we would appreciate immediate replacements like for like,or similar, for very minor breakages.We will require immediate payment for repair or making good if the damage or breakage is more significant, and if you fail to do so, you will be responsible for meeting any subsequent claims together with full legal costs as a result of your actions. We of course have the right to enter any accommodation (we will of course give prior notice whenever practical or possible) if special circumstances or emergencies arise, for example if repairs need to be carried out.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

Data collection

Any data collected during the course of this booking may be kept on computer.

Payment

Payment can be made by card over the telephone, by cheque or postal order, payable to North Yorkshire Holiday Homes Ltd. For all bookings we require a one third of rental cost or minimum deposit of £150 per lodge whichever is the greater, to confirm the booking. In the case of larger groups , an amount per person may be required, please enquire.You must make sure that this reaches us within 4 days of making the booking.  We will send you an email or letter confirming the booking and advising you of the amount of the outstanding balance . The balance must then be paid at least 10 weeks before the start of the holiday.  For holidays which are to take place within 10 weeks of making the booking, the full balance is due on booking.
